An AI voice agent works inside your CRM when three things happen without anyone touching a keyboard: a new lead in your CRM triggers a call within 60 seconds, every call outcome is written back to that same lead record, and booked appointments land on the right loan officer's calendar. It is the question mortgage brokerage owners ask us most: 58% ask it, more than any other question about the AI.[1] This guide shows how that connection actually works in GoHighLevel, Bonzo, Lead Mailbox, Big Purple Dot, Zoho and Pipedrive, based on the integrations SayVo runs every day, and what to ask about Salesforce, HubSpot and Velocify.
- A new lead should trigger a call in under a minute, by webhook, not a 15-minute sync.
- Every call writes back to the same lead: outcome, summary, recording, stage, appointment.
- The AI should only move the pipeline stages you allow, and your LOs need a one-click stop.
- You keep your CRM. A good integration means your team never logs into anything new.
What does “works inside your CRM” actually mean?
I don't want more stuff to log into.
Owner of an independent mortgage brokerage, on a SayVo discovery call
Owners tell us this in different words on almost every call. Your loan officers already live in a CRM. If the AI makes them check a second dashboard, they won't, and the calls it makes become invisible. So the test is simple. Your team should see the AI's work in the screens they already use, on the lead record they already open. (New to the category? Start with what an AI voice agent for mortgage does.)
That takes five steps running on their own, every time:
A new lead lands in your CRM (or an LO flags an old one) and the AI is told within seconds.
The AI calls within 60 seconds, using what the CRM already knows: name, lead source, loan type, assigned LO.
The outcome, a short summary, the recording link and the next step are saved on the same lead record.
Qualified borrowers are booked on the assigned loan officer's calendar or transferred live.
Unreached leads get a call cadence for weeks, not days, and every attempt is logged.
How does the AI know a new lead came in?
Speed depends on how your CRM announces a new lead. The fastest way is a webhook: the moment a lead is created, the CRM sends it to the AI. That is how the AI can dial in under a minute. The slow way is polling, where a system checks your CRM every 5 to 15 minutes. Polling quietly throws away the advantage you paid for. A lead contacted within an hour is about 7 times more likely to qualify than one contacted an hour later.[2] Our speed-to-lead statistics and our breakdown of the Harvard speed-to-lead research show why.
Not every lead should be called the instant it arrives, so good integrations also let your team trigger the AI on purpose. In Bonzo, for example, we use a task with a set title: an LO adds the task and the AI calls, and a second task title stops it. In GoHighLevel, the trigger is usually a pipeline stage or a tag inside a workflow. Either way, your team controls who the AI calls without leaving the CRM.
What should the AI write back after every call?
Write-back is where most integrations fall short. A call that isn't recorded in the CRM didn't happen, as far as your loan officers are concerned. After every call, the lead record should show:
The “stages you allow” part matters. Once a file is in processing or submitted to a lender, the AI should never move it. In live builds we protect those stages by name, so a late call outcome can't drag an active loan back to “new lead.”
How it works in each CRM
Every CRM exposes different doors. Here is how the connection works in the systems SayVo builds on, and what each one can and cannot do.
| CRM | How the call gets triggered | What gets written back |
|---|---|---|
| GoHighLevel | A workflow fires on a new contact, a tag or a pipeline stage; callback cadences run natively | Notes, tags, pipeline stage and the appointment on the calendar |
| Bonzo | A webhook on a task (a set task title starts the AI; another stops it) or a campaign event | Plain-text call notes, guarded stage moves, and texts sent from Bonzo so replies reach the LO |
| Lead Mailbox | Lead Mailbox posts each new lead to a webhook within seconds | A status update on the lead plus a call note |
| Big Purple Dot | Outbound webhooks on create or status change, set up by Big Purple Dot support | Contacts, tags, notes and assigned agent through a write-only API |
| Zoho CRM | A workflow rule sends new leads out by webhook | Lead status values (for example, booked or contacted but didn't book) and notes |
| Pipedrive | A webhook on a new person or deal | Deal stage, notes and activities |
Salesforce, HubSpot and Velocify all have APIs and can send new leads out, so the same three jobs apply. The work is mapping your statuses and deciding which stages the AI may touch. Budget more time for heavily customized Salesforce setups. You can see the full list of tools we connect on our integrations page.
How does it work in GoHighLevel?
GoHighLevel is the CRM we see most often at independent brokerages, so it is worth a closer look. In GoHighLevel, the AI runs off the workflows you already know. A new contact, a tag or a move into a pipeline stage starts the call. The call outcome then moves the opportunity to the matching stage, adds a note with the summary and recording, and books the appointment on the loan officer's GoHighLevel calendar.
Unanswered leads drop into a callback sequence that keeps trying for weeks, inside the calling hours you set. A booking, a do-not-call outcome or a request to stop should end it, so test all three before launch. Calendars can follow the assigned loan officer or a round robin, whichever your team uses today. Because it all lives in GoHighLevel, your team can see every attempt, every recording and every booking without a separate tool.
I kind of don't want to have to use multiple different systems.

What breaks CRM integrations (lessons from live builds)
Every one of these happened in a real mortgage integration. None of them shows up in a demo, which is why it pays to ask about them before you sign.
Do you need to switch CRMs to use an AI voice agent?
No. Your CRM stays the system of record. Leads live there, your loan officers work from there, and the AI reports back there. When a CRM lacks something the AI needs, such as a native callback cadence, SayVo runs that piece behind the scenes and still writes every result back to your CRM. Your team doesn't learn a new tool, and nothing is lost if you ever turn the AI off. It also changes the math against hiring: see AI vs a human ISA. The same setup runs our past-client reactivation and after-hours coverage for the leads that arrive at night.
Questions to ask any AI vendor about CRM integration
For what happens inside the call itself, see how the AI qualifies and books a lead. Consent and calling rules are your brokerage's responsibility; our TCPA guide for AI calling explains what to check.
Where this breaks
Integration isn't magic, and a good vendor will tell you where yours has limits. CRMs without outbound webhooks force slower polling or a hook on the lead form itself. Write-only APIs, like Big Purple Dot's, mean the AI can't read history before it dials. Heavily customized Salesforce orgs take longer to map. Texting from inside the CRM depends on the CRM having a texting API at all. None of these are deal-breakers, but each one changes what the AI can do, and you should know which apply to you before launch.
Send one test lead into your CRM and watch the AI call it, write the notes back and book the appointment. Then decide.

Frequently Asked Questions
Yes. A Bonzo task or campaign event triggers the call, call notes are written back to Bonzo as plain text, pipeline stages move only within the stages you allow, and texts can be sent from Bonzo so borrower replies reach your loan officer.
Yes. Lead Mailbox posts each new lead to SayVo within seconds, the AI calls within 60 seconds, and the lead's status and a call note are written back. We add a guard for leads Lead Mailbox re-sends, so borrowers aren't called twice.
Yes. The AI reads the loan officer assigned in your CRM, checks that officer's calendar and books the borrower there, in the borrower's time zone. If no officer is assigned, the lead is flagged for your team instead of being booked on a guess.
No. Your CRM stays the system of record. SayVo connects to it, runs anything it lacks behind the scenes, and writes every call result back, so your team keeps working where they already work.
The build typically takes 2 to 4 weeks, and SayVo does it for you, including a test lead run end to end in your own CRM before launch. If you also want the AI to text, carrier registration for business texting (A2P 10DLC) can add a few weeks.
